Xero, walking the talk by sending eInvoices to their own clients
Seeing the benefits of eInvoicing for businesses, Xero was one of the first accounting software providers to offer eInvoicing capability to its customers – and is now using eInvoicing to streamline Xero’s own finance operations.

The context
Xero is all about supporting small business and helping them thrive through online simplification and automation of business processes.
“I think there are great synergies between what we stand for as a tech company and what eInvoicing offers,” says Bridget Snelling, New Zealand Country Manager at Xero.
“Just like with Xero, eInvoicing makes something that is already part and parcel of what a business owner does every day [sending and receiving invoices] much faster, much easier.”
So, adopting eInvoicing into its own processes just made sense for Xero - providing benefits for its customers and efficiency gains for the organisation.
The process
When Xero wanted to start sending eInvoices it had to ensure that the process didn't disrupt billing to its customers.
“We send monthly invoices so any disruption would have been quite disastrous for us,” says Bridget Snelling, Country Manager Xero New Zealand.
Xero started small, sending subscription eInvoices to 10 customers and after several months with no interruption to any customers, the finance department was happy for this to be made generally available.
Likewise, when Xero integrated eInvoicing into its corporate accounts payable system the process went so well that the accounts payable manager didn’t notice a difference.
“I think the fact that our finance department barely even noticed and there were no complaints about the change is testament to the fact that it was very smooth,” says Bridget.
The benefits
Xero sees many key benefits for small businesses as well as its own efficiency gains. A big one is that sending and receiving eInvoices is faster, sent directly from accounting system to accounting system, removing manual handling time, reducing errors, and speeding up response times.
“Obviously there’s reduced admin time - we don’t have humans handling paper documents and that reduces the potential for errors and risk as well. There’s also cost savings because eInvoicing is reducing the human resource required,” says Bridget.
Another benefit is that it's more secure because eInvoices are sent from accounting system to accounting system - they can’t be tampered with, and they can't get lost in a customer’s email inbox.
“It's a fantastic way to streamline the sending and receiving of invoices,” says Bridget.
